Article I: Name
The name of this organization shall be the Texas Track & Field Coach Association, abbreviated TTFCA.
Article II: Mission Statement
The Texas Track & Field Coaches Association exists to promote the sport of track & field in the state of Texas by developing and enhancing lines of communication with all governing bodies at the local, state and national levels. Thus, the purposes of this association are:
1. To study and initiate proposed rules changes and make recommendations to the appropriate organizations;
2. To provide educational avenues for coaches, officials and athletes via published materials and the annual clinic;
3. To recognize student-athletes and coaches through an awards and scholarship program;
4. To recognize prominent contributors to the growth of track & field in the state of Texas through induction into the Texas Track & Field Coaches Association Hall of Fame;
5. To develop camaraderie among coaches, officials and athletes in an atmosphere conducive to sportsmanship.
6. To promote track & field through media channels and facilitate media awareness of area meets, competitions and achievements by Texas teams and individuals.
Article III: Membership
Membership in the Texas Track & Field Coaches Association is vital. The cliché of power in numbers is never more appropriate than in the advocacy of a collective endeavor such as promoting the sport of track & field in the state of Texas. Membership is 100% FREE through the end of calendar year 2010

Duties of the TTFCA Board and Consultants
[The duties below are an overview of each board member’s general responsibilities.]
President
A.
Preside at all TTFCA business and organization meetings.
B.
Set dates, time and site. Prepare accommodations and make necessary reservations.
C.
Develop agenda.
D.
Assist in the selection of TTFCA consultants.
E.
Communicate agenda to track and field district representatives at a minimum two weeks advance of any business and / or
organization meetings.
F.
Assist in the publication of the TTFCA quarterly newsletter.
G.
Monitor TTFCA operations and assist officers, reps and various committees where needed.
H.
Collect and disseminate input from membership. Pursue goals of membership with various state boards and agencies,
always in the best interest of membership.
I.
Distribute award and Hall of Fame recognition.
J.
Assist in the operation of the annual clinic run by Lone Star Elite Clinics.
K.
When deemed necessary, attend other state and / or national conventions / clinics to distribute ideas to membership to help
further promote Track & Field in the state of Texas.
Vice-President
A.
Assist the President in the promotion of Track & Field throughout the state.
B.
Attend all business and organizational meetings, assisting with surveys, newsletters and other tasks.
C.
Aide in the coordination of all TTFCA activities, including the Lone Star Elite clinic and TTFCA meets.
D.
Assume duties of the President if / when the President is unable.
Secretary
A.
Take and distribute notes at all meetings to officers, regional representatives and TTFCA consultants before submitting them
for website posting.
B.
Assist in the publishing of the TTFCA quarterly newsletter.
C.
Work closely with all officers, regional representative and TTFCA consultants in an effort to distribute accurate and unbiased
information to membership.
Treasurer
A.
Maintain and update an accurate membership database.
B.
Pay bills and collect / deposit all monies and keep accurate account of all receipts and other banking transactions.
C.
Serve as Post Office liaison.
D.
Prepare and present an annual treasurer’s report.
E.
Serve as TTFCA’s liaison to Lone Star Elite clinics for registration purposes.
Marketing Director
A.
Gather and disseminate information to membership in an effort to promote Track & Field in the state of Texas.
B.
Assist in the maintenance of the TTFCA website.
C.
Assist in the writing and distribution of all TTFCA-relation promotional materials, including but not limited to: quarterly
newsletter, meet flyers, treasurer’s report, et al.
D.
Assist in the maintenance of an accurate membership database.
Historian-Archivist
A.
Maintain records of all completed TTFCA-sponsored events, be they clinics, track meets, award recognition luncheons /
dinners, etc.
B.
Maintain a photo library of all completed TTFCA-sponsored events, be they clinics, track meets, award recognition luncheons
/ dinners, etc.
C.
Assist the web host and marketing director in the preservation of all literature created by the TTFCA.
D.
Assist the Treasurer and Marketing Director in maintaining an accurate membership database.
Regional Directors
A.
Attend all business and organizational meetings to discuss and develop TTFCA policy.
B.
Responsible for Regional Coach of the Year selection. This includes the collection of biographical and achievement
information. From these coaches, an overall Coach of the Year for the state of Texas will also be awarded.
C.
Run regional meetings to open dialogue on concerns to specific regions in the state of Texas. These concerns will be voiced
to the TTFCA board to solve all relevant issues.
D.
Assist in TTFCA-sponsored Track & Field meets.
E.
Assist – if needed – at the annual Clinic hosted by Lone Star Elite.
F.
Promote the TTFCA and recruit new members.
G.
Send newsworthy items of coaches, athletes, officials, fans to the TTFCA board for state recognition.
TTFCA Consultants
A.
Serve as conduits for new and creative ideas to help the TTFCA increase positive promotion for coaches, athletes, officials,
and fans of track & field at all levels in the state of Texas.
B.
Offer unbiased advice – conflict-of-interest-free – on issues related to the day-to-day operation of the TTFCA. Issues will
cover all areas of operation, from charities to legal issues to advertising and public relations to procuring equipment
discounts for membership.
Article V: Awards
The eight awards below are distinct and separate from the Hall of Fame award/s and recognition (Article XII). Within three years, the TTFCA plans to recognize deserving student-athletes with financial scholarships to help defray college expenses – award names and dollar amounts to be decided upon. The TTFCA reserves the right to sponsor an award due to extraordinary circumstances, such as outstanding contribution or significant achievement, such as Olympic success.

Article VI: Texas Elite Invitational Track & Field Meet
In its early stages of planning and development, the Texas Elite Invitational Track & Field Meet will feature many of the state’s top high school track & field athletes. Location and procedure open for discussion.
Article VII: Sponsors, Vendors, Partners
A.
Sponsors. Sponsors help underwrite the cost of TTFCA events in exchange for advertising and visibility. Sponsorship is granted on three levels: Gold, Silver and Bronze.
a.
Gold Sponsors – Your business logo is featured as a live link on each page of the TTFCA website. Your business logo is featured in the quarterly newsletter as well as all published materials related to TTFCA-hosted clinics and meets. At TTFCA-hosted clinics, sponsor brochures will be included as part of the coaches’ welcome package, and at TTFCA-hosted meets, not only will it be okay for brochures to be distributed, but also for appropriate signage to be strategically placed at the site. Brochures and signage will be provided by the sponsor.
Price = $500 / year, discounted 15% for a two-year sponsorship.
b.
Silver Sponsors – Your business logo is featured as a live link on the Sponsorship and Links pages only of the website. Your business logo is featured in the quarterly newsletter as well as all published materials related to TTFCA-hosted clinics and meets. At TTFCA-hosted clinics, sponsor brochures will be included as part of the coaches’ welcome package, and brochures may be distributed at TTFCA-hosted meets.
Price = $350 / year, discounted 15% for a two-year sponsorship.

Bronze Sponsors – Your business logo is featured as a live link on the Sponsorship and Links pages only of the website. Your business name is featured is featured in the quarterly newsletter as well as all published materials related to TTFCA-hosted clinics and meets.
Price = $150 / year, discounted 15% for a two-year sponsorship.
B.
Vendors and Partners. The TTFCA works with many vendors in an effort to procure its membership the best rates on various cross-country / track & field-related merchandise and services, ranging from equipment to instructional videos to car rental and airline discounts. Vendors and Partners possess the ability to offer their products and services at clinics, meets, online, and through special promotions. In exchange, Vendor and Partner fees help defray the cost of TTFCA operations. Please contact the TTFCA to reach one of the country’s largest track & field memberships.
Article VIII: Texas Elite Clinics
The TTFCA has partnered with Lone Star Elite to run its annual January clinic in Dallas. Future clinic sites and dates are open for discussion and will be presented to the board before information is distributed to membership.
Article IX: Minutes
Minutes are secured by the TTFCA Secretary before distribution to membership. Minutes will also be archived on the TTFCA website.
Article X: Hall of Fame
The TTFCA will establish a State of Texas Track & Field Hall of Fame. The location and funding is open for discussion. Until the point where a free-standing building is established, the TTFCA will recognize Hall of Fame membership. The TTFCA President will appoint a Hall of Fame chairperson whose duty it is to organize a Hall of Fame Committee from which nominations and eventually selections will occur. Criteria include but are not limited to: a) Coaches, both head and assistant, must have at least 10 years experience in the state of Texas. They may be active, retired or deceased; b) Officials must have a t least 10 years experience in the state of Texas. They may be active, retired or deceased; c) Athletes must have been enrolled at a state of Texas high school or college, and d) Contributors. Contributors must have left a positive and lasting impact on the sport of either Track & Field in the state of Texas. Contributors include but are not limited to: media, announcers, organizers, etc.
All newly elected Hall of Fame members will be inducted into the Hall of Fame at a TTFCA Hall of Fame banquet. Hall of Fame members will receive a Hall of Fame award from the TTFCA and will have their names added to a perpetual plaque maintained and housed by the TTFCA.
The TTFCA Hall of Fame building, once established, will also house a visual history of track & field, in the state of Texas. Photos and memorabilia are welcome and will always be collected.
Article XI: Texas Track & Field Coaches Association Training Centers
A future endeavor of the TTFCA is to either open or partner with training centers around the state to allow coaches, officials and athletes avenues to train in many of the state’s finest facilities.
Article XII: Amendments
Amendments to the bylaws must be presented in writing to the board. Amendments must be passed with a 75% vote of all board members.
